What an ATS is (and is not)

Almost every mid-size and large company runs your resume through an Applicant Tracking System, or ATS, before a human ever sees it. Most advice about "beating the ATS" is either fear-mongering or flat wrong. So here is what actually happens, in plain English, and the eight things the system is really scoring.

What an ATS is (and is not)

An ATS is software that stores and organises job applications. When you apply, it parses your resume into structured fields (name, work history, skills, education) and makes the result searchable for recruiters. That is the core job: parse and store.
It is not a robot that auto-rejects you for one missing keyword. Modern systems rank and surface candidates; they rarely hard-delete anyone. The real risk is not rejection. It is invisibility. If the parser cannot read your resume cleanly, or your content does not match what the recruiter searches for, you sit unread at the bottom of a long list.

The 8 things that get scored

A good resume check evaluates the same dimensions a tracking system and a recruiter care about. These are the eight we score in our free ATS checker:

1. Format and parsing

Can the software read your file at all? Tables, text boxes, headers/footers, columns, and graphics-as-text are the usual culprits that break parsing. A clean, single-column layout with standard fonts parses reliably.

2. Section structure

Standard, clearly-labelled sections (Experience, Education, Skills) let the parser map your content to the right fields. Creative section names like "Where I have made an impact" confuse it.

3. Contact and personal details

Name, email, phone, and city need to be in the body of the document, not buried in a header or footer where many parsers drop them.

4. Work experience

Each role needs company, title, location, and dates in a consistent format, with bullets that show what you did and the result. Inconsistent date formats are a quiet killer.

5. Education

Degree, institution, and dates, formatted consistently. Simple, but frequently messy.

6. Skills and keywords

This is the big one for matching. The system looks for the hard skills and tools the role requires. Missing the exact terms from the job description is the most common reason a qualified person never surfaces.

7. Projects and certifications

Relevant projects and credentials, especially for early-career candidates or career switchers where they carry the weight that a long work history would.

8. Impact, grammar, and consistency

Quantified results, strong action verbs, correct grammar, and consistent formatting. A typo in a job title or company name reads as carelessness and drags the whole document down.

How to actually pass

You do not pass an ATS by stuffing white keywords or gaming the parser. You pass by being readable and relevant:
  • Readable: single column, standard sections, real text (not an image of text), consistent dates.
  • Relevant: the hard skills and vocabulary from the specific job description, present in your skills and experience. (Tailoring per role is the highest-leverage move here. We wrote a step-by-step method for it.)
