A good resume email is brief enough to scan in 20 seconds and specific enough to show that you chose this role deliberately. Use five parts: a searchable subject line, a professional greeting, one sentence naming the role, two or three lines matching your evidence to the job, and a clear attachment note with your contact details. The email should introduce the resume, not repeat every bullet from it.
Replace every bracket before sending. Keep the finished message between roughly 80 and 150 words unless the employer asks for a detailed cover note.

Send a PDF unless the employer explicitly requests a Word document. A PDF preserves spacing and typography across devices, but it still needs selectable text so an ATS can parse it. Name the file with your name and the document type, such as Riya-Sharma-Resume.pdf. Avoid files named resume-final-v7.pdf, scan001.pdf, or CV.pdf. Open the attachment once after composing the email to confirm that the correct, latest file is attached and that links work.
The most damaging mistakes are preventable: sending from an unprofessional address, leaving the subject vague, misspelling the company or role, attaching an old resume, using a mass-email greeting, and writing a long autobiography. Do not mark the email as high priority, request a read receipt, or send repeated messages within a day. One accurate, tailored application is stronger than several impatient follow-ups.
If the job post gives a timeline, respect it. Otherwise, one polite follow-up after five to seven business days is reasonable for a direct email application. Reply in the same thread so the recruiter can see the original message and attachment. Reconfirm your interest, mention the role, and ask whether any additional information would help. If there is no response after that, continue applying elsewhere rather than sending daily reminders.

Name the role, say where you found it or who referred you, connect two relevant strengths to the job, mention one concrete result or project, state that your resume is attached, and close with your phone and LinkedIn profile. Keep the message concise and tailored.
Use “Application for [Role] - [Your Name]”. Add the job ID when the posting provides one, or lead with “Referred by [Employee]” for a genuine referral. Avoid vague subjects such as “Resume”, “Job”, or “Urgent”.
